The short version

We only collect what you choose to give us, plus the basic technical data any website records.

We use it to reply to you, schedule calls, send what you asked for, and occasionally send updates you can unsubscribe from.

We never sell your personal information.

You can ask us to see, correct, or delete your information at any time by emailing info@deeplakesoftware.com.

Information you give us

Contact forms. When you fill out a form on our site, we collect what you enter, usually your name, email address, phone number, company, and your message.

Website chat. Our site uses a chat widget provided by HighLevel (also called LeadConnector). If you start a chat, we collect your messages and any details you share, such as your name, email address, and phone number.

Phone calls and text messages. Our business number, (615) 857-4062, runs through HighLevel. When you call or text us, HighLevel records your phone number, the date and time, and the content of text messages, and may record voicemails you leave.

Messages sent through our contact form are emailed to us, and we may add your details to our CRM (HighLevel) so we can follow up. Information from chat, calls, and texts is stored in our HighLevel customer relationship management (CRM) account.

Free downloads. Some pages offer a free PDF you can download without creating an account or logging in. We do not collect any personal information just because you download it.

Information collected automatically

Hosting and server logs. Our website runs on WordPress and is hosted by Hostinger. Like most web servers, theirs automatically record basic technical information when you visit, such as your IP address, browser type, the pages you request, and the date and time. These logs are used to keep the site running, secure, and fast.

Cookies. Our site uses a small number of cookies:

Caching cookies. Our hosting uses LiteSpeed Cache, which may set cookies that help pages load quickly and display correctly. They do not identify you personally.

Chat widget cookies. The HighLevel chat widget may use cookies or similar browser storage so that an ongoing conversation stays connected as you move between pages.

WordPress cookies. WordPress itself sets cookies only for people who log in to manage the site, not for ordinary visitors.

We do not currently use Google Analytics or advertising tracking tools on this site. If that changes, we will update this policy first.

You can block or delete cookies in your browser settings. The site will still work, although the chat widget may not keep your conversation between pages.

How we use your information

We use the information we collect to:

reply to your questions and requests;

schedule and hold calls or meetings;

send you information or files you asked for;

provide and improve our services and website;

keep our website and systems secure; and

occasionally send updates about our services. Every marketing email includes an unsubscribe link, and you can opt out at any time.

Text messages (SMS)

If you give us your mobile number and agree to receive text messages, we may text you about your inquiry, appointments, and related follow-up. How often we text depends on your conversation with us.

Opting out: Reply STOP to any message to stop receiving texts. We will send one message confirming that you have opted out, and then no further texts unless you opt in again.

Help: Reply HELP for help, or contact us at info@deeplakesoftware.com or (615) 857-4062.

Costs: Message and data rates may apply, depending on your mobile plan.

Consent to receive texts is not a condition of buying anything from us.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

How we share information

We never sell your personal information, and we do not share it with others for their own marketing.

We share information only with service providers that help us run our business, and only as needed for them to provide that service. These include:

HighLevel (LeadConnector) for our CRM, website chat, phone, text, and email tools;

Hostinger for website hosting; and

our business email provider.

These providers are allowed to use your information only to provide services to us. We may also disclose information if the law requires it, to protect our rights or the safety of others, or as part of a sale or merger of our business, in which case this policy would continue to apply to your information.

How long we keep information

We keep contact, chat, call, and text records for as long as we have an active conversation or business relationship with you, and for a reasonable period afterward for our records, usually no more than three years after our last contact unless the law requires us to keep it longer. Server logs are kept for a shorter period set by our hosting provider. When information is no longer needed, we delete it.

Your choices and rights

You can ask us at any time to:

tell you what personal information we have about you;

correct information that is wrong;

delete your information; or

stop sending you marketing emails or texts.

To make a request, email info@deeplakesoftware.com with the email address or phone number you used to contact us. We may need to confirm your identity before acting on a request, and we will respond within a reasonable time. We may keep limited information when we are legally required to, or to record that you asked not to be contacted.

Security

We use reasonable measures to protect your information, including secure (HTTPS) connections to our website and access controls on our accounts. No method of sending or storing data over the internet is completely secure, so we cannot guarantee absolute security.

Children

Our website and services are meant for businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.

Links to other sites

Our site may link to other websites. We are not responsible for their privacy practices, so please review their policies.

Changes to this policy

We may update this policy from time to time. When we do, we will post the new version on this page and change the effective date at the top. Significant changes will be noted on this page.
